Job Overview
We are seeking a highly skilled and experienced Executive Assistant to join our team, providing administrative support to our senior management and playing a vital role in ensuring the seamless operation of our business. As a key member of our team, you will be responsible for managing complex calendars, coordinating travel arrangements, and preparing correspondence and documents. With a strong ability to maintain confidentiality and handle sensitive information, you will be the gatekeeper of our senior management’s time and priorities. Key Responsibilities
* Manage and maintain complex calendars, ensuring seamless scheduling and coordination of meetings and appointments
* Coordinate travel arrangements, including flights, accommodation, and transportation, while ensuring compliance with company policies
* Prepare and edit correspondence, reports, and documents, maintaining high standards of quality and presentation
* Develop and implement effective filing systems, both physical and digital, to ensure easy access to information and data
* Provide exceptional customer service, responding to inquiries and resolving issues in a professional and timely manner
* Maintain confidentiality and handle sensitive information with discretion, adhering to company protocols and procedures
* Coordinate and arrange meetings, conferences, and other events, ensuring attention to detail and precision
* Conduct research and gather data to support senior management in their decision-making processes
Requirements
* Minimum 3-5 years of experience as an Executive Assistant or in a similar administrative role, providing support to senior management
* Proven track record of providing exceptional administrative support, with a strong focus on attention to detail and organization
* Excellent communication and interpersonal skills, with the ability to build strong relationships with colleagues, clients, and stakeholders
* Proficiency in Microsoft Office, including Word, Excel, PowerPoint, and Outlook, with the ability to learn new software and systems
* Strong analytical and problem-solving skills, with the ability to think critically and outside the box
* Ability to work in a fast-paced environment, prioritizing tasks and managing multiple projects simultaneously
* High level of discretion and confidentiality, with a strong understanding of data protection and privacy protocols
