The Malala Fund is dedicated to securing a free, safe, and quality education for every girl. Founded by Nobel Laureate Malala Yousafzai and her father Ziauddin, the Fund champions the courageous stories of girls fighting for education worldwide. We are seeking a highly organized and proactive Executive Assistant to provide comprehensive support to our CEO, ensuring the smooth and efficient operation of their office and facilitating the Fund’s mission in Pakistan.

Job Overview

The Executive Assistant to the CEO will be instrumental in managing the CEO’s schedule, communications, and administrative tasks. This role demands a proactive individual with exceptional organizational skills, discretion, and a deep understanding of the Malala Fund’s mission and operating environment within Pakistan. The successful candidate will act as a key point of contact and ambassador for the CEO.

Key Responsibilities

  • Manage the CEO’s complex calendar, including scheduling meetings, appointments, and travel arrangements with meticulous attention to detail.
  • Serve as a primary point of contact for internal and external stakeholders, fielding and directing communications with professionalism and efficiency.
  • Prepare and edit correspondence, reports, presentations, and other documents on behalf of the CEO.
  • Coordinate logistics for meetings, events, and travel, ensuring all arrangements are seamless.
  • Conduct research and gather information as needed to support the CEO’s initiatives and decision-making.
  • Maintain confidential files and records with the utmost discretion.
  • Anticipate needs and proactively address potential issues.
  • Requirements

  • Proven experience as an Executive Assistant, preferably supporting senior leadership in a non-profit or international organization.
  • Exceptional organizational and time management skills, with the ability to prioritize multiple tasks effectively.
  • Excellent written and verbal communication skills in English and Urdu.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • High level of discretion, integrity, and professional judgment.
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Understanding of the socio-political landscape and educational challenges in Pakistan.
