Job Summary
The Data Clerk – Advanced Excel Specialist involves maintaining and analyzing program data using advanced Excel techniques. The role requires meticulous attention to detail, the ability to work independently, and the capability to create structured reports and dashboards to support monitoring, evaluation, and program management activities.
Key Responsibilities
Data Management
• Enter, update, and maintain accurate program data in Excel databases
• Organize and manage large datasets to ensure consistency and reliability
• Clean, validate, and reconcile data to detect errors or inconsistencies
• Maintain secure and well-organized digital records
Excel Data Analysis and Reporting
• Develop and maintain advanced Excel spreadsheets and reporting templates
• Analyze datasets and generate routine and ad-hoc reports
• Create charts, dashboards, and data summaries for program monitoring
• Use advanced Excel functions such as Pivot Tables, Pivot Charts, VLOOKUP/XLOOKUP, INDEX & MATCH, nested formulas, conditional formatting, and data validation
Data Quality Assurance
• Conduct routine data quality checks and verification
• Reconcile discrepancies between datasets and reporting systems
• Ensure compliance with internal data management standards
Program Support
• Provide timely and accurate data reports to program staff
• Support monitoring and evaluation activities through structured data tracking
• Assist in preparing reports for management and stakeholders
Requirements and Qualifications
• Diploma or Bachelor’s degree in Statistics, Computer Science, Information Management, Public Health, Business Administration, or related field
• Minimum of 3 years’ experience in data entry, data management, or reporting
• Demonstrated experience managing large datasets in Excel
• Expert-level proficiency in Microsoft Excel, including Pivot Tables, Pivot Charts, VLOOKUP/XLOOKUP, INDEX & MATCH, nested formulas, conditional formatting, data validation, and dashboard creation
• Ability to independently create and manage complex Excel spreadsheets without supervision
Optional/Additional Qualifications
• Experience with monitoring and evaluation systems
• Familiarity with Power BI, KoboToolBox, DHIS2, CommTB, or similar data platforms
• Experience working in health programs, NGOs, or donor-funded projects
