Job Summary
The School Administrative Staff will oversee daily administrative operations and ensure the smooth running of the school office. The role goes beyond routine clerical work and focuses on building efficient systems, maintaining accurate records, supporting staff, and providing excellent service to parents and visitors.
Core Responsibilities
School Operations and Administration
- Ensure daily school operations run smoothly
- Manage front desk activities, enquiries, and visitor reception
- Handle petty cash, records, transport coordination, and general administrative duties
- Build and maintain standard operating procedures, checklists, and reports
Front Office and Reception Management
- Serve as the first point of contact for parents, visitors, and external partners
- Handle parents’ enquiries professionally and courteously
- Provide administrative support to teaching and non-teaching staff
Correspondence and Documentation
- Draft, proofread, and format letters, memos, reports, and school newsletters
- Use mail merge and other IT tools where necessary
- Maintain organized filing systems for both physical and digital documents
Records and Data Management
- Maintain and update student and staff records (manual and computerized)
- Track and monitor student attendance and absence registers
- Follow up with parents on unexplained absences
Scheduling and Coordination
- Manage calendars and schedule meetings such as parent teacher conferences and staff reviews
- Coordinate logistics for school events, excursions, and functions
Supplies and Inventory Management
- Monitor stock levels of office, school, and educational supplies
- Place orders when required and keep accurate inventory records
Basic Bookkeeping Duties
- Process invoices and record receipts
- Make bank deposits
- Manage petty cash and basic school funds
Management Support
- Provide reports and compliance support to the Director
- Assist with internal administrative compliance
Required Qualifications and Experience
- Bachelor’s degree or HND in a relevant discipline
- Minimum of 5 years administrative experience, preferably in a school environment
Skills and Competencies
- Strong organizational and multitasking ability
- Excellent written and verbal communication skills
- High level of professionalism and discretion
- Good IT and record management skills
- Ability to build and follow systems and procedures
