Job Overview

BSS Consulting is seeking a highly organized and professional Remote Receptionist to be the first point of contact for our esteemed organization. This vital role will ensure a seamless and welcoming experience for all clients, candidates, and internal team members. The ideal candidate will possess exceptional communication skills, a proactive attitude, and the ability to manage administrative tasks efficiently in a virtual environment. You will play a crucial part in maintaining the smooth operation of our remote office and upholding our company’s reputation for professionalism and exceptional service.

Key Responsibilities

* Answer and direct incoming calls and emails in a professional and courteous manner, ensuring prompt and accurate routing.
* Manage and maintain the company’s virtual reception area, including digital greeting systems and visitor management processes.
* Schedule and coordinate meetings, appointments, and conference calls for various departments and team members.
* Handle incoming and outgoing mail and package deliveries in a timely and organized fashion (if applicable to remote setup).
* Maintain and update contact lists, databases, and other administrative records with accuracy and attention to detail.
* Provide general administrative support, such as drafting correspondence, preparing reports, and managing digital filing systems.
* Assist with onboarding processes for new remote employees, ensuring they have the necessary information and resources.
* Respond to routine inquiries from clients and candidates, providing information and escalating complex issues as needed.

Requirements

* Proven experience as a Receptionist or in a similar administrative role, preferably in a remote setting.
* Excellent verbal and written communication skills, with a professional and friendly demeanor.
* Proficiency in using virtual communication and collaboration tools (e.g., Zoom, Microsoft Teams, Slack).
* Strong organizational and time management skills, with the ability to multitask effectively.
* High level of discretion and ability to handle confidential information.
* Familiarity with office management software and basic IT troubleshooting is a plus.
* A proactive and self-motivated approach to work, demonstrating initiative and problem-solving capabilities.
