We are seeking a highly organized and proactive Personal Assistant to provide dedicated support to our Group Managing Director (GMD). This role is crucial in ensuring the GMD’s efficiency and effective management of their demanding schedule.

Job Overview

The Personal Assistant to the GMD will be responsible for providing comprehensive administrative and personal support to the Group Managing Director. This role requires exceptional organizational skills, discretion, and the ability to anticipate needs and proactively manage tasks to facilitate the GMD’s productivity and the smooth operation of their office.

Key Responsibilities

  • Manage and maintain the GMD’s complex calendar, including scheduling meetings, appointments, and travel arrangements.
  • Prepare and edit correspondence, reports, presentations, and other documents.
  • Act as a liaison between the GMD and internal/external stakeholders, screening calls and responding to inquiries professionally.
  • Organize and coordinate travel logistics, including flights, accommodation, and itineraries.
  • Handle confidential information with the utmost discretion and integrity.
  • Manage and track expenses, process invoices, and prepare reports.
  • Assist with personal errands and tasks as required to support the GMD.
  • Maintain organized filing systems, both electronic and physical.
  • Conduct research and gather information as needed for the GMD.

Requirements

  • Proven experience as a Personal Assistant or Executive Assistant, preferably supporting senior leadership.
  • Excellent organizational and time-management skills.
  • Strong written and verbal communication abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • High level of discretion and professionalism in handling confidential matters.
  • Ability to multitask, prioritize, and work effectively under pressure.
  • A proactive and problem-solving attitude.
  • Relevant tertiary qualification is an advantage.
