Alan & Grant is partnering with a leading Furniture Manufacturing Firm in Nigeria to find a highly organized and proactive Personal Assistant. This role offers a fantastic opportunity to provide crucial administrative and strategic support at the highest level within a dynamic industry. The successful candidate will be instrumental in ensuring the smooth operation of the Managing Director’s office and contributing to the overall efficiency of the firm.

Job Overview

The Personal Assistant will be responsible for providing comprehensive and confidential administrative support to the Managing Director. This includes managing complex schedules, coordinating meetings and travel, handling correspondence, and proactively identifying and addressing potential issues to optimize the MD’s effectiveness.

Key Responsibilities

  • Manage and maintain the Managing Director’s calendar, including scheduling appointments, meetings, and events.
  • Screen and prioritize incoming communications, including emails, phone calls, and mail.
  • Prepare correspondence, reports, presentations, and other documents as required.
  • Coordinate travel arrangements, including flights, accommodation, and itineraries.
  • Organize and manage meetings, including preparing agendas, taking minutes, and following up on action items.
  • Conduct research and gather information as needed to support the MD’s initiatives.
  • Maintain confidential files and records with discretion.
  • Act as a liaison between the MD and internal/external stakeholders.

Requirements

  • Proven experience as a Personal Assistant or in a similar executive support role.
  • Exceptional organizational and time management skills.
  • Excellent written and verbal communication abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Discretion and a high level of confidentiality.
  • Ability to multitask and prioritize effectively in a fast-paced environment.
  • Strong interpersonal skills and a professional demeanor.
