About the Role – Remote Executive Personal Assistant (EPA)
Aktok is looking for a proactive, highly organized Remote Executive Personal Assistant to support its leadership team.

You will
• Manage daily executive operations
• Support recruitment and hiring
• Assist with marketing activities
• Help prepare grant, partnership, and certification applications

This role is ideal for someone who is resourceful, adaptable, and comfortable working independently in a fast-paced, global startup environment.

Key Responsibilities
1. Document Management
• Organise, structure, and maintain critical company documents
• Manage onboarding instructions, playbooks, SOPs, etc.
• Ensure proper version control and easy access via tools like Google Drive
2. Recruiting & Hiring Support
• Draft and post job vacancies
• Assist with candidate screening and shortlisting
• Schedule interviews and track hiring progress with ATS tools (e.g., Greenhouse, Lever)
3. Calendar & Email Management
• Manage executive calendars and schedules
• Coordinate internal and external meetings
• Professionally handle and filter email correspondence
4. Marketing Support
• Assist with basic content creation and outreach
• Support social media and lead generation campaigns
• Help coordinate simple marketing activities and follow-ups
5. Application Preparations
• Support preparation and submission of documents for:
o Grants
o Partnerships
o Certifications
• Ensure all requirements and deadlines are met
6. General Administrative Support
• Provide operational support across teams
• Conduct research and assist with cross-functional communication
• Help improve internal processes and team efficiency

Qualifications & Skills
• Exceptional organisational skills – able to manage multiple tasks and deadlines
• Recruiting experience – familiarity with hiring workflows, job platforms, and ATS tools
• Strong document management skills – Google Docs, Google Drive, spreadsheets
• Calendar & email management experience – managing senior executives’ schedules
• Good understanding of basic marketing support (outreach, content coordination, social media)
• Excellent written and verbal communication
• High level of professionalism, discretion, and attention to detail
• Tech-savvy – comfortable using
o Google Workspace
o Asana
o Slack
o Zoom
o And able to quickly learn new tools

Preferred Experience
• Previous experience as
o Executive Assistant / Personal Assistant
o HR Coordinator
o Marketing Assistant
o Or similar role in a tech startup or fast-paced remote environment
• Experience working in a distributed or remote team
• Familiarity with SaaS products or product development cycles is a plus
