Role Overview
The Executive Assistant is responsible for providing comprehensive executive, administrative, and strategic support to the Director, ensuring smooth coordination of business operations within a manufacturing environment. This role serves as a trusted liaison, enabling effective communication, operational efficiency, and confidentiality, while allowing the Director to focus on high-level business priorities.

Key Responsibilities
1. Executive & Administrative Support
• Manage the Director’s calendar, appointments, and travel arrangements to ensure optimal use of time
• Draft, review, and manage confidential correspondence, reports, and executive documents
• Prepare meeting agendas, record detailed minutes, and track action points to ensure timely follow-up
• Handle highly sensitive information with professionalism and discretion
• Maintain accurate records, reports, and databases for operational and management purposes
2. Operational Coordination
• Serve as the primary point of contact between the Director and internal/external stakeholders
• Coordinate with plantation, production, and administrative units to ensure timely reporting and alignment with strategic directives
• Support the Director in planning and overseeing site visits, plantation reviews, and staff meetings
3. Strategic & Analytical Support
• Conduct research, compile data, and prepare analytical reports to support decision-making
• Assist in developing strategic presentations, business reviews, and operational summaries
• Monitor project timelines, performance indicators, and deliverables to ensure execution and accountability
• Support the preparation of documentation and packs for management and board-level meetings
4. Event & Logistics Management
• Coordinate logistics for internal and external meetings, conferences, and corporate events
• Manage travel itineraries, accommodation, and protocol arrangements for the Director and visiting partners
• Liaise with vendors and service providers to ensure timely and quality support for executive operations

Requirements
• Master’s degree in Business Administration or a related discipline from a reputable institution (e.g. UNILAG, UI, LBS, etc.)
• Minimum of 5 years’ experience providing high-level support to senior executives, preferably in a manufacturing or industrial environment
• Proven ability to manage multiple priorities in a fast-paced setting
• Strong proficiency in Microsoft Office Suite and digital collaboration tools
• Excellent written, verbal, and interpersonal communication skills
• Demonstrated ability to handle confidential information with integrity and professionalism
• Strong organizational, analytical, and problem-solving skills
