Key Responsibilities

Finance and Accounting Support

  • Review financial transactions to ensure completeness, accuracy, and proper authorization
  • Prepare payment vouchers with correct cost classification and coding
  • Review attendance records using approved databases and prepare payment schedules for program participants
  • Prepare payment schedules for meetings, trainings, workshops, and consultants
  • Safeguard organizational resources by ensuring strict adherence to Malaria Consortium financial manuals and procedures
  • Maintain an Excel-based journal of completed payments and share weekly updates with the Finance Officer
  • Monitor stock levels of financial documents such as vouchers, receipts, and forms and request replenishment as needed
  • Support timely filing of monthly financial documentation for state and country offices

Supplier and Vendor Invoice Management

  • Track supplier and vendor invoices received by the finance team
  • Prepare invoice payments and obtain approvals from authorized personnel

Operations and Documentation Support

  • Scan, file, archive, and securely store all finance documents
  • Ensure finance documents are filed in line with Malaria Consortium filing standards
  • Track movement of payment documents between field offices and the country office
  • Support audits by making financial documents readily available
  • Assist with asset spot checks and physical verification exercises
  • Perform additional tasks assigned by the Finance Officer, Accountant, or Finance Manager

Reporting Line and Working Relationships

The Finance Assistant will be based in the state or country office and report to the State Finance Officer or Abuja Finance Officer, while working closely with operations, administrative, and technical staff. The role also involves interaction with stakeholders, local government officials, and community partners, with indirect reporting to Hub Accountants.

Qualifications and Experience

Essential Requirements

  • Bachelor’s degree or HND in Accounting, Finance, Business Administration, or Social Sciences
  • Minimum of one year post-graduation experience, with at least six months in a finance or accounts support role
  • Knowledge of NGO donor requirements and financial reporting standards
  • Strong proficiency in Microsoft Excel and general computer applications
  • Excellent analytical, organizational, and documentation skills
  • Ability to manage multiple tasks and meet deadlines
  • High integrity and ability to handle confidential information
  • Strong interpersonal and communication skills
  • Willingness to learn and take initiative

Desirable Requirements

  • Previous experience working with an international NGO
  • Working knowledge of accounting software
  • Strong stress tolerance and operational decision-making skills
