Job Summary

The Chief of Staff will serve as the operational backbone of the Executive Office, working closely with the Executive Director and Founder to ensure that decisions are translated into action. This role is not clerical in nature. It is a senior execution position responsible for building systems, monitoring performance, and driving cross-functional alignment.

Key Responsibilities

Executive Office Operations

  • Design, build, and manage the Executive Office as a central command center
  • Prepare and submit weekly executive reports to the Founder
  • Maintain dashboards for overdue tasks, risks, and leadership actions
  • Track cross-business dependencies and executive priorities
  • Manage a centralized executive documentation library using tools such as Confluence or Google Drive
  • Ensure all executive meetings result in clear decisions, assigned owners, defined deadlines, documented outcomes, and tracked follow-ups

Execution and Accountability

  • Track deliverables across leadership, HR, IT, schools, and product teams
  • Follow up consistently with task owners to ensure completion
  • Identify and escalate blockers early
  • Document non-compliance and performance gaps
  • Demand factual progress updates rather than emotional explanations

Systems and Process Development

  • Build and maintain standard operating procedures and operational playbooks
  • Create onboarding frameworks and role charters
  • Develop leadership scorecards and reporting systems
  • Design audit, compliance, and workflow templates

Cross-Business Alignment

  • Ensure coordination across Stella Maris Schools, MyStar Technology ecosystem, HR, Executive Office, and Media and IP units
  • Prevent silos and surface conflicts early
  • Protect executive focus and organizational priorities

Founder and Leadership Support

  • Provide weekly performance briefs
  • Conduct risk and bottleneck analysis
  • Track hiring and onboarding progress
  • Support policy rollout and enforcement
  • Offer execution-focused recommendations

Required Qualifications and Experience

  • Bachelor’s degree or HND in a relevant discipline
  • Minimum of 7 years and up to 25 years of professional experience
  • Proven background in operations management, program management, consulting, or senior project management
  • Demonstrated experience working with senior leadership
