Job Overview
Action Against Hunger is seeking a Supply Assistant to support logistics and supply chain operations in Borno State. The role involves assisting with procurement activities, supplier payments, delivery follow-ups, and accurate documentation to ensure efficient supply operations in line with ACF policies and standards.
Key Responsibilities
Mission 1: Procurement and Delivery Support
- Assist the Senior Supply Officer with small-scale procurements
- Conduct small purchases on behalf of the Supply Specialist
- Enter logistics requests into the LINK system
- Organise, monitor, and follow up on deliveries
- Inspect deliveries for quantity, quality, and proper documentation
- Report quality issues to the Senior Supply Officer
- Update receiving and dispatch records in LINK
- Maintain an up-to-date procurement documentation archive
Mission 2: Supplier Payment Follow-Up
- Verify supplier invoices
- Submit validated invoices to the finance department for payment
- Coordinate supplier payment appointments in line with finance procedures
- Ensure suppliers understand and comply with ACF policies, including Gender and Safeguarding standards
Mission 3: Information Management and Coordination
- Provide regular updates to logistics and program teams on supply progress
- Keep supplier and market information updated in LINK
- Ensure procurement files are complete and properly recorded in LINK
- Archive all procurement-related documents electronically (delivery notes, invoices, contracts, etc.)
- Coordinate with warehouse teams on incoming deliveries
- Follow up on deliveries received in the warehouse
Additional Duties
- Perform other related tasks as assigned
- Maintain high technical and professional standards
- Uphold ACF mission values, staff regulations, and humanitarian principles
- Promote gender equality and safeguarding in all activities
Qualifications and Requirements
- BSc or HND in Logistics, Supply Chain Management, Business Administration, or a related field
- Minimum of 2 years’ experience in office administrative roles
- Basic experience in supply chain or logistics operations
- Strong teamwork and coordination skills
- Proficiency in Microsoft Word and Microsoft Excel
- Ability to work effectively in a humanitarian and multicultural environment
